Studio Rental Agreement
SABI STUDIO
Photography Studio Rental Agreement & Terms of Use
Studio: SABI STUDIO, London, Ohio
Rental fee: $65 per hour
This Photography Studio Rental Agreement (“Agreement”) establishes the terms under which the individual or business identified above (“Renter”) may use SABI STUDIO (“Studio”) for photography, videography, content creation, or another approved purpose.
By booking, paying for, accessing, or using the Studio, Renter agrees to the terms below and accepts responsibility for communicating the applicable rules to everyone in Renter’s party.
1. Payments & Booking Confirmation
All rental fees must be paid in full at the time of booking to confirm and reserve the requested date and time. A booking is not confirmed until payment has been received and the Studio has accepted the reservation.
The standard rental rate is $65 per hour unless a different rate has been agreed to in writing. Additional time, approved services, cleaning, damage, and other applicable charges may be billed separately.
A damage deposit is not routinely required. However, by signing this Agreement and providing a payment method, Renter authorizes SABI STUDIO to charge the payment method on file for applicable, documented charges permitted under this Agreement, including damage, additional cleaning, and overtime. The Studio will provide an itemized explanation of additional charges upon request.
Renter remains responsible for any amount that cannot be collected through the authorized payment method. Nothing in this section authorizes charges unrelated to the booking or charges prohibited by applicable law.
2. Cancellations & Rescheduling
Renter cancellations: All bookings are considered final and nonrefundable once confirmed. Renter may not cancel a booking and receive a refund, except where required by law or where the Studio agrees otherwise in writing.
Rescheduling: Renter must request a reschedule at least 48 hours before the scheduled rental start time. For eligible bookings, the Studio permits one reschedule, subject to availability and written confirmation.
Bookings of two hours or longer are not eligible for rescheduling under this policy. For bookings shorter than two hours, one reschedule may be permitted when the request is made at least 48 hours in advance. Any approved replacement booking must be scheduled with the Studio.
Late notice and no-shows: Requests made less than 48 hours before the booking, failure to arrive, or failure to use the reserved time do not entitle Renter to a refund or replacement booking. No-shows are charged the full booking fee.
Studio cancellations and circumstances outside the Studio’s control: The Studio may cancel or interrupt a booking if necessary due to safety concerns, building or equipment failures, power outages, severe weather, emergencies, or other circumstances beyond its reasonable control. If the Studio cancels a booking before it begins, the Studio will refund the rental fees paid for the affected booking or offer a mutually agreed reschedule. If a booking is interrupted after it begins, any refund or credit will be determined based on the circumstances and applicable law.
The Studio may also cancel a booking for other legitimate operational reasons. In that event, the Studio will refund fees paid for the unused booking time and will not be responsible for indirect losses, such as lost business revenue, subject to applicable law.
3. Rental Period, Access & Late Arrival
Rental periods are arranged in advance. Renter’s time begins and ends at the times stated in the booking confirmation.
The paid rental period includes setup, styling, shooting, breakdown, cleanup, and removal of belongings. Renter must leave the Studio clean, restored, and vacated by the end of the reserved period.
Renter who arrives more than 20 minutes after the scheduled start time forfeits the booking and rental fee, unless the Studio agrees otherwise in writing.
Renter and all guests must leave by the scheduled end time.
A five-minute grace period applies when vacating the Studio. Remaining more than five minutes past the scheduled end time constitutes overtime.
Overtime is charged at $5 per minute after the five-minute grace period, unless a different written rate applies. Overtime charges do not grant Renter an automatic right to continue using the space.
Extensions are permitted only with advance approval from an authorized Studio representative and are subject to availability and payment of the applicable additional fee.
Early access, early setup, equipment drop-off, storage, and later pickup are not included unless agreed to in writing and may incur additional fees.
Renter may not enter the Studio before the booking begins or remain after the booking ends without permission.
4. Permitted Use & Party Size
The Studio may be used only for the purpose approved at booking, such as portrait photography, branding sessions, product photography, videography, or content creation.
Renter must obtain written approval before using the Studio for a materially different purpose, commercial production, a large-scale event, or any activity that could create unusual risks, noise, mess, or disruption.
Unless otherwise agreed to in writing, the maximum party size is six people total, including Renter, photographers, models, clients, assistants, and other guests. The Studio must approve any larger group in advance.
The person signing this Agreement must remain present for the entire rental period and is responsible for everyone in their party.
5. Studio Rules & Care of the Space
Renter agrees to follow all Studio rules and any reasonable safety instructions provided by the Studio.
Furniture and floors
Do not drag, push, or slide furniture across the floor. Furniture must be lifted when moved.
Return furniture, props, fixtures, and equipment to their original positions before leaving.
Do not stand, climb, or place unreasonable weight on furniture or equipment.
Do not make alterations, repairs, or installations without permission.
Smoking, vaping, and substances
Smoking and vaping are prohibited inside the building and within 20 feet of any entrance.
Illegal drugs and unlawful activities are prohibited on the premises.
Alcohol or other potentially hazardous substances may not be brought onto the premises without prior written approval.
Candles and open flames
Candle use requires prior approval from the Studio.
Approved candles must be used cautiously, kept attended, and fully extinguished before Renter leaves.
Open flames, pyrotechnics, and other fire hazards are prohibited unless expressly authorized in writing.
Food and drinks
Food and beverages may not be placed on or around Studio furniture.
Renter must keep food and drinks away from furniture, props, equipment, backdrops, and other items that could be stained or damaged.
Any approved refreshments must be kept in a designated area and cleaned up before departure.
Pets and animals
Pets and other animals are not permitted without prior approval from an authorized Studio representative. Approved animals must remain under appropriate control, and Renter is responsible for any related cleaning or damage.
Glitter and messy materials
Glitter is strictly prohibited, including glitter used in clothing, cosmetics, confetti, craft supplies, and holiday decorations.
If glitter is used or brought into the Studio and causes contamination, a $150 glitter-cleaning fee may be charged.
Paint, powders, confetti, smoke effects, liquids, adhesives, and other materials that may stain, leave residue, trigger alarms, or require special cleaning need prior written approval.
Hanging and decorating
Items may be hung only in locations and using methods approved by the Studio.
Command-style removable hooks may be used only where appropriate and permitted by the Studio.
Do not use nails, screws, staples, strong adhesives, or other methods that could damage walls, ceilings, floors, furniture, or fixtures without written permission.
Shoes and floors
All guests must thoroughly clean their shoes before entering.
Muddy, dirty, snowy, or wet shoes and boots are not permitted on the Studio floors.
Guests should bring clean indoor shoes or change footwear at the entrance.
Children
Children must be supervised by a responsible adult at all times. Children may not be left unattended anywhere in the Studio or building.
6. Rule Violations & Early Termination
The Studio may immediately stop a session or terminate the rental if Renter or a guest violates this Agreement, creates a safety risk, damages property, engages in illegal activity, or interferes with the Studio’s operations or other occupants.
Where termination results from Renter’s or a guest’s conduct, Renter is not entitled to a refund for unused rental time. Renter remains responsible for applicable overtime, cleaning, damage, and other charges permitted under this Agreement.
Proposed rule-violation charge: A minimum charge of $500 for serious or material violations may be imposed only where the charge is clearly disclosed, reasonably related to the anticipated costs or losses, and permitted by applicable law. This provision should be reviewed by an Ohio attorney before use; a flat penalty may not be enforceable in every circumstance.
7. Lighting & Photography Conditions
The Studio’s natural and artificial lighting conditions may vary according to time of day, season, weather, and other environmental factors. Renter is responsible for determining whether the Studio’s lighting and layout are suitable for the intended session.
The Studio does not guarantee particular lighting conditions, natural light levels, or photographic results. Dissatisfaction with lighting due to weather, time of day, season, or Renter’s unfamiliarity with the Studio’s conditions does not, by itself, qualify for a refund.
Renter is encouraged to ask questions about the space and evaluate whether it meets the requirements of the intended project before booking.
8. Cleaning, Trash & Restoration
Renter must leave the Studio and all included contents, furniture, fixtures, and equipment in the same general condition and arrangement as they were at the start of the rental, allowing for ordinary, reasonable use.
Renter must remove all personal belongings, props, products, clothing, equipment, decorations, and other items brought into the Studio.
Trash must be placed in the designated supplied trash cans. The Studio will dispose of ordinary trash placed in those cans.
Renter must remove any trash or materials that cannot be placed in the supplied cans and must not leave oversized, hazardous, or unusual waste behind.
If the Studio requires additional cleaning because of Renter’s use, a minimum $50 cleaning fee may be charged. Additional reasonable costs may apply for substantial messes or specialized cleaning.
The Studio may document the condition of the space before and after a rental to help determine whether cleaning or damage charges are warranted.
Items left behind will be held for up to 10 calendar days after the rental, where reasonably practicable. The Studio will make reasonable efforts to notify Renter if contact information is available. After that period, unclaimed items may be treated as abandoned and disposed of or otherwise handled as permitted by law. Reasonable storage or disposal fees may apply where disclosed and legally permitted.
9. Damage, Loss & Payment of Charges
Renter is responsible for damage, loss, theft, stains, spills, excessive wear, or other harm to the Studio’s premises, floors, walls, windows, furniture, fixtures, props, and equipment caused by Renter or anyone in Renter’s party, beyond ordinary wear and tear.
Renter agrees to pay reasonable costs necessary to repair or replace damaged property, restore the Studio, or address loss attributable to Renter or their party. The Studio will provide an explanation of the charge and, when reasonably available, supporting documentation such as photographs, repair estimates, invoices, or receipts.
Damage and cleaning charges are due within 10 business days after an itemized invoice is issued, unless another deadline is required by law or agreed to in writing. Renter authorizes the Studio to charge the payment method on file for applicable charges under this Agreement, subject to applicable law and any required payment-processing procedures.
Renter must notify the Studio promptly if they discover damage or an equipment malfunction during the rental.
10. Equipment, Furniture & Connectivity
Only equipment, furniture, props, and amenities expressly identified in the booking confirmation are included in the rental. Renter must not assume that any particular camera, lighting equipment, backdrop, stand, prop, or accessory is available unless the Studio has confirmed it.
The Studio will make reasonable efforts to provide included equipment in working condition but does not guarantee that every item will be suitable for Renter’s specific purpose or produce a particular result. Renter must promptly notify the Studio of any equipment malfunction, damage, or safety concern and must stop using any item that appears unsafe.
Wi-Fi, where offered, is complimentary and provided without a guarantee of availability, speed, or uninterrupted connectivity. Renter should bring a charged mobile phone; the Studio does not guarantee access to a dedicated studio telephone line.
Renter may not remove Studio equipment or property from the premises without written permission.
11. Conduct, Supervision & Shared-Space Expectations
SABI STUDIO is a shared creative space. Renter must conduct the session professionally, respectfully, and safely and must ensure that all guests understand and follow this Agreement.
Renter is responsible for the conduct and welfare of everyone in their party, including models, clients, children, contractors, and assistants.
An authorized Studio representative may enter or remain in the space when reasonably necessary for safety, maintenance, operational needs, or enforcement of this Agreement, subject to applicable privacy and legal requirements.
The Studio may stop a session and require Renter and their party to leave if it observes or becomes aware of dangerous, disruptive, illegal, abusive, or otherwise prohibited activity. The Studio is not required to supervise or police every activity taking place during the rental.
12. Minors & Photographic Subjects
Renter is responsible for ensuring that all photographic and video activities comply with applicable laws and that all required permissions, releases, and consents have been obtained.
Where a photographic subject is under 18, Renter must obtain appropriate permission from the subject’s parent or legal guardian before photographing, recording, or using the subject’s likeness, as applicable. The Studio may request reasonable evidence of age or parental/guardian permission and may stop a session if required permissions appear to be absent or a legal violation is suspected.
Renter is responsible for verifying the age of subjects and obtaining any required model releases, guardian consents, and usage permissions. The Studio does not independently verify the identity or age of every photographic subject and does not assume Renter’s obligations in this regard.
13. Photography Rights, Privacy & Publicity
Renter retains responsibility for the photographs, videos, content, and other materials created during the rental, including copyright ownership, subject permissions, model releases, and compliance with applicable privacy, publicity, and intellectual-property laws.
Renter may not photograph or record other Studio users, private areas, or individuals who have not consented where consent is required. Renter may not use the Studio’s name, logo, or branding in a way that suggests sponsorship, endorsement, or partnership without prior written permission.
The Studio will not use Renter’s photographs, likeness, or behind-the-scenes content for promotional purposes without any consent required by law. Any separate agreement for the Studio to share or use such content should be documented independently.
14. Insurance
The Studio may require businesses, corporations, production companies, photographers, or other commercial renters to provide a certificate of general liability insurance before the rental. Any requirement will be communicated before the booking is confirmed.
Where required, the Studio may request commercial general liability coverage of at least $1,000,000 per occurrence and in the aggregate, with SABI STUDIO and/or the property owner named as an additional insured where appropriate and available under the policy.
Renter must provide requested insurance documentation by the deadline communicated by the Studio. If required insurance is not provided, the Studio may decline or cancel the booking and address any fees under the cancellation terms and applicable law.
Nothing in this Agreement represents that the Studio’s insurance covers Renter, Renter’s business, equipment, guests, clients, or activities.
15. Assumption of Risk & Limitation of Liability
Renter understands that use of the Studio, its premises, furniture, props, and any included equipment carries inherent risks, including slips, falls, property damage, equipment malfunction, and injury to Renter or members of Renter’s party.
Renter voluntarily accepts responsibility for the ordinary risks associated with the planned use of the premises and agrees to take reasonable precautions to protect themselves, their party, their belongings, and the Studio’s property.
To the extent permitted by applicable law, SABI STUDIO is not responsible for loss, theft, damage, injury, or interruption arising from Renter’s activities, the acts or omissions of Renter or their party, or circumstances outside the Studio’s reasonable control. Nothing in this Agreement excludes or limits liability that cannot legally be excluded or limited, including any liability that applicable law does not permit the Studio to waive.
Renter is responsible for safeguarding their own property and arranging appropriate insurance for their equipment, business, and activities. The Studio does not guarantee the security of personal belongings.
16. Indemnification
To the extent permitted by applicable law, Renter agrees to be responsible for and to indemnify SABI STUDIO and its owners, employees, agents, and authorized representatives against third-party claims, losses, liabilities, and reasonable legal costs arising from Renter’s or Renter’s party’s negligent or wrongful conduct, breach of this Agreement, property damage, or violation of law.
This provision does not require Renter to indemnify the Studio for the Studio’s own negligence or misconduct to the extent such indemnification is prohibited by law.
17. Dispute Resolution & Arbitration
The parties will first make a reasonable effort to resolve any dispute arising from this Agreement through good-faith discussion.
Proposed arbitration clause: If a dispute cannot be resolved informally, the parties agree, to the extent permitted by applicable law, to submit the dispute to binding arbitration in the Columbus, Ohio area under the applicable rules of the American Arbitration Association (AAA), before one neutral arbitrator. The arbitrator, process, allocation of fees, available remedies, and any exceptions will be governed by the applicable arbitration rules and law.
Any claim that is legally ineligible for arbitration, or for which arbitration is unenforceable, may be brought in a court with proper jurisdiction. The parties retain any rights that cannot legally be waived.
This arbitration provision should be reviewed by an Ohio attorney before use, including the fairness and enforceability of the fee allocation and any small-claim exception.
18. Compliance With Laws
Renter must comply with all applicable federal, state, county, and local laws, regulations, ordinances, fire codes, building rules, and safety requirements while using the Studio.
Renter is responsible for obtaining any permits, licenses, releases, or permissions required for the planned activity. The Studio may prohibit activities that it reasonably believes are unlawful, unsafe, or inconsistent with the approved use of the space.
19. General Terms
This Agreement and the confirmed booking details constitute the agreement between SABI STUDIO and Renter regarding the rental and replace prior discussions about the same rental to the extent they conflict with this written Agreement.
Any change or exception must be confirmed in writing by an authorized representative of SABI STUDIO. Failure to enforce a provision on one occasion does not waive the right to enforce it later.
If any provision is found unenforceable, the remaining provisions will remain in effect to the extent permitted by law.
This Agreement is governed by the laws of the State of Ohio, without displacing any mandatory legal protections that apply.
Electronic signatures and electronic booking confirmations may be used to the extent permitted by applicable law.
20. Renter Acknowledgment & Signature
By booking the studio, Renter confirms that they have read and understood this Agreement, had the opportunity to ask questions, and agree to comply with its terms. Renter also acknowledges responsibility for informing everyone in their party of the Studio’s rules and expectations.
Please treat the Studio with care and respect. It is a shared creative space, and leaving it ready for the next person helps us maintain a welcoming environment for everyone.
